Terms and Conditions

These terms and conditions are applied for the booking of bus tickets, train tickets, rental car, and tour packages provided by us as a travel agent. By making the payment, you accept these terms and conditions. In these Terms & Conditions, the word “Customer” means the person who agrees to buy and/or any person on whose behalf you agree to purchase the package tours, day trips, flights, car rental and other travel services provided by us.

PRICES

All rates shown on the website for bus tickets and car rental are quoted in US dollars.

We reserve the right to vary prices and rates in the event of changes in exchange rates or price rises made by wholesalers or other suppliers. If the cost of any service increases due to exchange rate fluctuations, price increases, tax changes or any other reason, you are required to pay the increase when notified by us or you may cancel the booking which may result in cancellation fees. We are not liable in any way if any increase occurs.

DEPOSIT

A payment deposit of 20% to 50% total amount will be required after the acknowledgement of your confirmation to secure your booking.

FULL PAYMENT

Full payment shall be received no later than 10 days prior to your departure date. For bookings made within 10 days of departure or valued under $100, full payment is required upon confirmation.

CONFIRMATION BY US

A confirmation email will be sent to the customer’s provided email address within 24h after payment is successful. If not received within 2 days, please notify us at looptrailshostel@gmail.com.

REFUND OF UNUSED SERVICES

No refunds are available for unused services including missed arrangements, meals, or accommodations. No-show cases are charged in full.

ACCEPTANCE OF BOOKING

We reserve the right to decline any booking without explanation. We may also adjust itineraries, substitute hotels, or cancel tours when necessary due to unforeseen circumstances. Customers are strongly encouraged to have travel insurance.

CANCELLATION

By Customers:

• 30 to 16 days prior to departure: 50% cancellation fee + bank/service provider charges.
• Less than 15 days: full deposit forfeited.
• No refund for unused or missed services. No-show: full charge.

Flight Cancellation: Follows airline rules and may be non-refundable. Additional fees may apply.

Special Conditions: Some products may apply additional cancellation charges. These will be clearly advised in writing at the time of booking.

By Us: If cancellation is from our side, we offer a full refund or a replacement of equal value. No extra compensation applies.

FORCE MAJEURE

No compensation will be paid for cancellations caused by events like natural disasters, war, government actions, or similar force majeure events.

TRAVEL DOCUMENTATIONS

Customers are responsible for valid passports, visas, and permits. We are not liable for failure to obtain proper documents.

INSURANCE

Customers must arrange their own travel insurance, as it is not included in our services.

LIABILITY

We are not responsible for any loss, injury, or damage. Any extra costs due to delays or natural disasters are borne by the customer.

RESPONSIBILITY AND DISCLAIMER

We act only as a booking agent and are not liable for actions or errors of third-party providers (e.g. hotels, transport, tours, etc.).

CLAIMS

Any disputes should be resolved through negotiation. If unresolved, the case will be submitted to the Vietnam International Arbitration Centre (VIAC). All claims must be made within 30 days after the end of service.
